Instructions for deactivating Activity and Program worktags.
The Worktag Deactivation Dashboard in Workday provides the information needed to determine whether a worktag is eligible for deactivation. MBU FDM administrators must review the dashboard for each worktag and ensure that all required criteria are met.
See the Worktag Deactivation QRG for instructions.
A worktag may be requested for deactivation only if the following conditions are met:
- Activity or Program Worktags Only - (these are the only worktags eligible for deactivation at this time)
- No In Progress Journals
- No open Obligations or Commitments
- No in progress Expense Reports
- No Balances in the Assets or Liability Ledgers (1xxx or 2xxx)
- No Working Budget
- No SIS transactions (the worktag has never been used in a SIS transaction)
If any of these criteria are not met, the worktag(s) should not be submitted for deactivation
Worktags that have ever been used on a SIS Item Type cannot be deactivated at this time due to system interface constraints that would result in batch failures.
If you have Activity or Program worktags that you would like to deactivate but they have SIS usage:
- List these worktags on the Issues tab in the Worktag Deactivation Template.
- Central Finance and the SIS Team will use this information to investigate potential future solutions.
- At this time, it is unknown whether worktags with SIS activity will be eligible for deactivation in the future.
Schools and units must complete the Worktag Deactivation Template to request worktag removal.
The template must include:
- All Activity or Program worktags requested for deactivation
- A valid electronic signature from the individual certifying the review
- Any worktags with SIS activity listed separately on the Issues tab (if needed)
The Worktag Deactivation Template must be signed, and the submission must come from an MBU FDM Administrator.
Each school or unit designates an MBU FDM Administrator to manage the deactivation process. Responsibilities include:
- Collecting worktag requests from their area
- Reviewing each worktag to verify it meets all deactivation criteria
- Consolidating requests for their MBU
- Submitting the Worktag Deactivation Template once per week
- Ensuring alignment with the school or unit’s FDM strategy
If your area needs to update the assigned MBU FDM Administrator, please contact Ask Finance.
Once reviewed, MBU FDM Administrators must submit the completed template to AskFinance. Submissions should be made once per week for the MBU.
The Central Finance Team will:
- Review each submission
- Validate that all deactivation criteria have been met
- Confirm deactivation or request additional information as needed
