      • No more than twelve people, including the driver, may ride in any van owned, leased, rented or operated for University business. Passengers should sit in seats that are in front of the rear axle. If there is a back seat providing seating above the passenger limit it must be removed.

  • Personal rentals should be booked directly with Hertz or on their website.
  • Insurance is not included on personal rentals, and taxes are applicable.

    Contract Benefits & Services:

    • Unlimited mileage for all rental vehicles per rental transaction when vehicle is returned to the same renting location
    • Low daily rental rates
    • Accept drivers 18 years and older with valid driver's license
    • Second driver fee waived for all University rentals
    • Weekly rate 5X the daily rate. Monthly rate is 20X the daily rate. 
    • One-way rates are at the base daily rate unless the traveler exceeds 500 total miles- then $125 fee is added
    • All domestic University rentals include $1 million liability and collision/loss damage waiver insurance at no additional cost with each vehicle rental transaction 
      • International rentals do not include insurance coverage. When overseas, employees should purchase the extra insurance (Collision Damage Waiver) on an auto rental.
    • 24-hour roadside assistance at no charge for vehicle breakdowns if not the fault of the driver
    • Complimentary upgrades for Five Star and President's Circle members. Hertz Gold members may use points for upgrades.

    Note

    Payment Methods:

    • A credit card may be required to make a reservation. The University's Travel and Expense Card (T&E card) is the preferred payment method. Driver and name on credit card must match for all rentals other than reservations confirmed with a direct bill number (see below). 

     

    Setting up a Direct Bill Account:

    • If a Travel and Expense cardholder needs to pay for another employee’s vehicle rental, he or she may apply for a direct bill account with Hertz by completing the Hertz Direct Bill Application and completing the instructions on the form.
    • Direct bill accounts may only be used for employee rentals. Non-employees must personally pay and seek reimbursement.
    • Instructions on how to book a rental car using a Direct Bill Account:
      • Go to Hertz.com
      • Scroll all the way to the bottom and click “Applicant Program” on the bottom right
      • Enter the direct bill number
      • Make the reservation

     

    If you've lost your car rental receipt, click here: Search for Receipt. Records are available online for six months.

     

    Accident Procedure:

    1. Hertz will provide you with an 800 number for roadside assistance when you pick up your rental.
    2. If in an accident, call the police and file a police report
    3. Call Hertz roadside assistance and report the damage. If the vehicle is drivable, they will advise to drive to the closest Hertz location to exchange the vehicle.
      1. If not drivable, they will arrange an exchange.
    4. Renter should fill out an incident report form and provide it to Hertz.
