View T&E Card Transactions and Declines in Works

  • Card Authorization Log: Recent T&E Card transactions for the current billing cycle (which runs from the 16th of each month to the 15th of the next) can be quickly viewed in the Card Authorization Log within BOA Works. Click the drop-down arrow next to the card number (labeled “Account ID”). Then select “View Auth Log.” This log shows real-time authorizations, including approved and declined transactions.
    • An authorized charge that is not completed by the vendor or a declined charge will remain on the Authorization Log for 5-7 days. After that time, the transaction will either post to the account or drop off the log if it was not finalized.
    • See instructions for how to view your Card Authorization Log in Works.
  • Posted Transactions: To view both current and past transactions, select “Expenses – Transactions” from the top navigation bar on the Works webpage. Select individual transactions to view additional details, including vendor information.
  • Transactions Not Visible in Authorization Log or Posted Transactions: If a transaction is not visible in either the Card Authorization Log or the Posted Transactions, it has not reached Bank of America for authorization. Common causes include:
  • Incorrect Billing Information: The billing address or phone number entered may not match the cardholder’s information on file, causing the transaction to be declined. Use the Active Cardholder Search to verify the correct billing address and phone number before retrying the transaction.
  • Vendor Issues: Technical errors, timeouts, or incorrect merchant setup may prevent the transaction from being submitted for authorization. Contact the vendor directly to confirm whether the payment was processed or if there was an issue on their end.

Declined Codes and Reasons in the Works Card Authorization Log

Declined transactions will include a decline reason code, which helps identify the issue. When viewing transactions in the cardholder’s Card Authorization Log in Works, the “Decline Reason” will appear to the right of each declined transaction. Below is a list of common decline codes and their explanations.

  • “DECLINED BY SCORE 1” - “TIERED WATCH LEVEL 6”
    • The transaction has been declined for suspected fraud. Call the BOA Fraud Department 1-866-500-8262.
    • Common causes include fraud and making consecutive purchases from the same vendor or for the same dollar amount.
    • See Also: Fraud, Dispute Charge, Replacement Card
  • “Bank to Bank Move”
    • Verify if the card being used matches the last four digits of the card number shown on the account. The old card number will not work if that card has been canceled. Discard the canceled card and use the new card instead.
    • If you were not anticipating a new card replacement, contact [email protected]. Cards may be replaced for various reasons including being compromised or expired.
  • “Not Enough Available Money “
  • “REVERSAL”
    • If the transaction  shows as REVERSAL, it can be caused by entering payment information that does not match the cardholder's billing information or an issue with the vendor’s payment processor.
    • The cardholder should first view their card’s billing address and phone number using the Active Cardholder Search and then attempt to re-run the payment using the correct billing information.
    • If the issue persists, contact the vendor directly. They can often process the payment directly over the phone or identify the payment issue.
  • “ACTIVATION”
    • The card has not been successfully activated. Activate Card then try to make the purchase again.
