What do I do if I selected the wrong Account Group (Deposit vs. Expenditure Credit) in CashPro and now the wrong Purpose is showing on the AHBT?

 

When departments use the Remote Deposit Scanner (RDS) to scan a check, they will have to select an Account Group in CashPro.  There might be more than one Account Group listed.  Often there is one for revenue deposits and one for Expenditure Credits in the Account Group drop down menu.  This selection has an associated location code.  The location code is what drives the Purpose Code in an Ad Hoc Bank Transaction (AHBT).

The location code also is what drives which AHBT template is used to default the worktags including the Revenue/Spend Category. 

If you select the wrong Account Group, you will see the Purpose is not correct and the worktags that default in are also not correct.   There is no way to change the Purpose Code.  However, you can change the worktags in the line. 

If you do select the wrong Account Group, you will have to change the worktags in the Ad Hoc Bank Transaction Lines and add a memo that states the correct purpose along with any other memo you need to add (i.e., This is an Expenditure Credit NOT a Department Deposit.  Wrong Account Group selected….). 

For Expenditure Credits – all worktags should be changed to match the worktags used in the original transaction including the Spend Category. 

For Department Deposits (revenue deposits) – make sure to change to a revenue category.

NOTE:  Since you cannot change the Purpose code, this will affect reporting. If you pull any reports and filter by Purpose, for example, to find all Expenditure Credits, the AHBTs that you corrected by adding a note to the memo will not be captured.  You will have to make sure that it is included by looking at the memo field.
