How do I expense a refund to my T&E Card?

Refunds to the T&E Card

Any refund received for a purchase made on the T&E Card must be refunded directly to the card (not by cash or store credit). The cardholder is responsible for expensing both the original charge and the refund in Workday. If the card has been canceled, the credit will still be applied to the card account, enabling the transaction to be expensed correctly in Workday.

 

Expensing a refund received on the T&E Card

All charges and refunds made on the T&E Card must be submitted in Workday Expenses within 30 days. Please choose one of the following options:

  1. Prompt Credit Receipt: If the cardholder receives the credit promptly, they should submit both the original charge and the credit transactions on the same report. This will balance to $0 on the report.
  1. Delayed Credit Receipt: If waiting for the credit will cause the original transaction to be submitted late (past 30 days), the cardholder should submit the charge and credit on separate reports. In the report for the charge, include comments explaining that the item has been returned and the credit is pending. Ensure that the same Worktags are selected for both reports.
