Medical Center Employee PTO Cashout

Medical Center employees with over 40 hours of time off are eligible to request a PTO cash out twice yearly.  Cash-out requests must be made in Workday.

November 2024 Cash-Out Guidelines

  • Team members with over 40 hours of PTO may request a PTO cash-out between November 14th – November 24th.
  • Team members can review their total PTO balance prior to November 14th for the cash-out period by clicking on Absence Balance in Workday and selecting 11/9/24 in the “As Of” field. The amount in the "Balance As of Date" field is their total PTO at the time of cash-out.
  • Team members will receive a “heads up” announcement email from Payroll Services on Monday, November 4th.
  • Team members will receive another email with detailed instructions for cashing out their PTO on Thursday, November 14th.
  • Starting November 14th, team members can view their allowable cash-out amounts and make requests by searching “Cash Out” Workday.
  • Eligible hours for PTO Cash-Out are based on the amount of PTO a team member has accrued as of the pay period ending November 9th.  
  • Cash-out requests cannot exceed the allowed maximum hours as defined in Paid Time Off.
  • Questions in all communications will be referred to the HR Solution Center at AskHR@virginia.edu.
  • The November 29th paycheck will include the PTO Cash-Out payments. 
  • The next PTO Cash-Out period is June 2025.

Step-by-Step instructions for Requesting a Cash-Out

The process in Workday is only for requesting PTO cash-out.  All other PTO requests should be made in Kronos as usual.

Cash-out requests entered in Workday use the Cash-Out task and follow these steps: 

 

  1. Search “Cash Out” in the search bar at the top of the screen. 
  2. Enter the amount of hours you’d like to cash out. The maximum you’re eligible to cash out appears in a note below the Hours field. 
  3. Click Submit.

View your completed cash-out requests by following these steps: 

  1. Navigate to the Menu in the upper left corner of the Workday screen. 
  2. Click Absence 
  3. Click My Absence under the View section. 
  4. Cash-Out Requests appear on the second tab of this screen.
