What is an AHBT with a Purpose code Chargeback and what do I do with it?

 

Most Ad Hoc Bank Transactions (AHBT) have one of three Purpose codes:

  • Department Deposit – Revenue Deposit
  • Expenditure Credit – Expenditure Credit Deposit
  • Merchant Deposit – Credit Card/ACH Payments Deposit

 

Occasionally, you may also see Chargeback in the Purpose field.   You will also see that it is a Withdrawal of funds and not a deposit like you are used to seeing.  You should find some information to help you figure out what deposit it was in the Header Memo field.

The Chargeback purpose code is used when Bank of America pulls a deposit back.  This can be due to different reasons like a check not clearing. 

You will need to review the Ad Hoc Bank Transaction lines and make sure that all the FDM worktags match the worktags that were originally entered on the Ad Hoc Bank Transaction for the original deposit.  This will net zero on the original deposit because the funds were not available.  It is up to the department to contact the payer and request they send in a new payment.
