Log onto TravelUVA
- Guest travel may be booked through TravelUVA's online booking tool or directly with a CBT agent.

- *Note: An agent fee is assessed when booking directly through a CBT agent. There is no fee for booking through TravelUVA's online booking tool (Concur).

- From the AirPortal dashboard, select "Book Travel" on the left, and then "Book/Manage Online Trips" to access the Concur online booking tool.
Book for a Guest
- At the top of the "Trip Search" section in Concur, select "Book for a guest".
Continue Booking Process
- Continue booking as normal for airfare and lodging.
- Note: Rental cars for guests should NOT be booked through Concur. Please book guest rental cars directly with one of UVA's contracted rental car vendors using the Leisure Contract ID at the following links:

- You will be prompted to enter the guest's name and information before confirming the booking.
- Sensitive information like Date of Birth should not be sent via email. Please ask the guest to call you directly to provide their Date of Birth and any other sensitive information over the phone. Alternatively, you may work with a CBT advisor and call them to set up and hold the flights, and then ask the guest to call the advisor to provide them with their TSA information.
View Completed Booking
- Once the booking is confirmed, you may view the completed booking by clicking on Travel in the black header at the top of the Concur homepage. Then click on Trip Library.
- Note: Guest lodging and rental car bookings are NOT pre-paid.
- Lodging:
- For local hotels where UVA holds a contract, a travel assistant may call the hotel and give their T&E card information over the phone, or provide it through a secure site like Sertifi. Card information should never be sent over email or fax. The traveler will need to present a credit card in their name when they check in to the hotel.
- For non-local hotels, arrangements for pre-payment may be made by contacting the hotel directly after confirming the reservation. A third party credit card authorization form may be required, however, the full 16 digit card number should not be sent via email or fax. Please call the hotel directly to provide the full card number over the phone.
- The hotel will still request a card from the traveler at check-in for incidentals.
- Rental Cars:
- Payment must be made by credit card in the name of the driver at the time of pick up, and reimbursement may be requested after the travel is completed.
