  • Who is affected in this phase? This transition only applies to vendors already enrolled in Bank of America Paymode with other clients.
  • Do I need to take action? No, UVA and Bank of America will handle the transition. If any updates are needed, Bank of America or Bottomline (BoA’s partner) will reach out to you directly.

  • What about vendors not yet using Paymode?

UVA is enhancing its payment processes by transitioning to Paymode ACH, a widely used and trusted Bank of America payment platform. This transition will improve efficiency and financial alignment while ensuring seamless payments to our valued vendors.

What's Changed? 

For Account Certifications created before Feb. 1st, 2024, Account Certifications pulled in activity that are in 

the Standard: SRECNP Ledger Account/Summaries. 

Now that the investment income ledger accounts have been suppressed from Account Certifications, you may want to see that activity.   Note:  This information does not need to be reviewed as it is reconciled in central finance and is rolled back into the investment. 

The Investment Income Ledgers that have been suppressed are:

 4400: Investment Income 

4401: Investment Income – Debt Proceeds

This Quick Reference Guide (QRG) is designed to walk finance employees through using the FDM Validator.  By the end of this QRG, users will be able to use the FDM Validator to validate Worktags and print a scan code.

Expense Item Updates

As of October 28, 2024, new automatic airline refund rules went into effect, per the U.S. Department of Transportation’s rule and amendment to the rule.

 

This Quick Reference Guide (QRG) provides a step-by-step process of manually sourcing a requisition that includes a zero-dollar line. A requisition that contains a zero-dollar line will NOT be automatically sourced into a Purchase Order but will need to be manually sourced instead. The requisitioner can perform this action once all necessary approvals have been obtained. By the end of this QRG you will be equipped to manually source a zero-dollar line requisition that you have created.

 

The deposit form is to be used by department who do not have access to a remote deposit scanner either in their department or in their school/unit.  Check with your school/unit's finance department to see if another department has a remote deposit scanner.  Deposits should only be in the form of a check.  We do not accept Cash. Cash should be taken to the bank.

 

This Quick Reference Guide (QRG) is designed to walk through the process of stopping a check payment to a supplier. A stop payment request may be made for several reasons: Incorrect address, need to change payment from check to ACH, check was never received or was lost, payment was made in error, etc. By the end of this QRG you should be able to submit a Stop Payment form with all the needed information.

What's a Match Exception?

When your Workday purchase order lines and corresponding supplier invoice lines do not have the same price and/or quantity or your purchase order totals and invoice totals do not have the same price and/or quantity, you get a match exception.  

It's important to be proactive with match exceptions -- don't ignore the notifications you receive about one of your invoices being under match exception, because invoices under match exception can't be paid.  This means the suppliers you use won't receive payment.
